We are looking for a motivated Accounts/ Finance Apprentice to join our certification company based in Malvern. The position will include a variety of accountancy tasks and study towards a Level 2 or 3 AAT qualification.

This role will support the delivery of a wide range of community services providing an opportunity to experience a wide range of work based learning opportunities within Community Services. Working closely with all staff across the Community Services team, supporting the delivery of services that encourages active, stronger, and safer communities.

What you will do in your working day

This will include supporting specific work streams around the contract management of our leisure and community centres and open spaces, supporting planning responses that deliver open space improvements, promoting active travel opportunities, tackling environmental crime such as fly-tipping, abandoned vehicles, and dog fouling, and supporting community safety initiatives.

The postholder will also support the team

  • By engaging with customers via email and telephone.
  • Administer financial transactions including payments to and from the council.
  • Support the promotion of initiatives and information via social media and the website.
  • Help organise and administer partnership and network meetings.

Applicants with the following experience would be an advantage:

  • Experience in administrative procedures and processes.
  • Working as part of a team.
  • Good ICT Skills, particularly in Microsoft Officer 365 applications, email, social media and the internet.
  • Experience in communicating with a wide range of members of the community.
  • Awareness of the role and the responsibilities of local authorities.

To provide administrative support to the Finance Manager, Management Team and Clinic Coordinators who support clinicians through the booking of clinics and investigatory procedures. We support NHS trusts and private hospitals with neurophysiology, intraoperative monitoring and ultrasound diagnostics.

What you will do in your working day

This is an exciting opportunity to join a supportive and growing team. The job will be interesting and varied. You will be able to experience many different aspects of financial administration relating to all aspects of a busy accounts, credit control, stock control and finance department.

Main Duties and Responsibilities:

To support the finance team to:

  • Maintain internal databases, for example, SharePoint, Clinic Office, Outlook and Excel
  • Liaise with hospitals to obtain or chase purchase orders
  • Liaise with hospitals to raise quotes and chase quotes
  • Undertake basic credit control
  • Accurate input of invoices to finance system
  • Support with stock control and stock inventories
  • Liaise with clinicians and healthcare staff to chase and check invoices
  • Maintain organisational systems and processes to ensure efficient control and storage of all information and records
  • Undertake a range of record-keeping and monitoring tasks, complying with GDPR, patient confidentiality and organisational requirements
  • Manage/answer any incoming and outgoing telephone calls and emails to ensure that they are redirected and/or logged appropriately and in accordance with guidelines
  • Undertake appropriate training and development activities to meet the requirements of the post
  • Work in a flexible way in order to support colleagues to ensure an effective service is given
  • Support the Clinic Coordination team with general administrative tasks if required
  • To undertake any other reasonable duties in line with the general responsibility of the post

What you will do in your working day

  • You will be the first point of contact for our parents and school visitors, performing receptionist duties face to face and on the telephone and email throughout the day.
  • You will model excellent professional relationships with children, parents and other professionals in the school and wider academy trust. Organising our busy email in box and school calendar and ensuring that the weekly diaries are up to date.
  • You will have specific responsibilities for key areas of the office work, such as monitoring registers on a daily basis and ensuring that key services are administered well and run smoothly.

This is a unique opportunity to get your foot in the door, with a well-renowned global company. Based across the HR and Learning and Development teams you will undertake various administrative duties, where no two days will be the same.

What you will do in your working day

The week will be split between our HR team and the Learning and Development team.

Learning and Development (L&D) duties will include:

  • Supporting with hosting and organising careers events and fairs, to include communications with organisers, apprentice volunteers and organising transport
  • Help to Organise and run Industrial Cadets weeks to include liaison with schools and external bodies
  • Maintaining the contacts list
  • Represent Mazak at internal or external careers events and support other L&D visits off site and those visiting the Mazak site as needed and support other events as needed
  • Support for work placements and work experience requests to include liaison with mentoring managers and candidates and organising the generic work experience plans
  • Support and help maintain the overall events calendars, agendas, timetables and database of the above and help with the implementation of those events
  • Administer new enquiries to include liaison with suppliers and other stakeholders
  • Support the planning and implementation of apprentice reviews
  • Help with the organisation of award ceremonies
  • Support other communications and appointments with external L&D contacts
  • Support the annual apprentice recruitment process and other general administration processes to include timesheet administration if required
  • Help the Apprentice and Outreach Supervisor and the People Development Manager as required to ensure the smooth running of the function

Human Resources duties will include:

  • Supporting the filing of confidential employee records
  • Updating the employee database
  • Updating company car fleet details
  • Support with creating HR related posters
  • Help the Human Resources Advisors and the Human Resources Manager as required to ensure the smooth running of the function
